Our Booking Procedures
We make traveling to the Wine Country easy. Our team of experts are here to help you get the most out of your Wine Country Experience. We believe all our clients deserve an extraordinary experience!
- Fill Out the Form On any Page of the Website.
You decide your travel dates, number of people and type of transportation. You can also add/ subtract days to this package, just let us know how many nights you would like. Alternatively, you can email us with these details.
- Online Account Created.
Your details will be reviewed by our team of Wine Country experts, and a custom itinerary will be created for you, based on your exact dates of travel & number of nights. Your online account is created and you will receive your username & password via email.
- Itinerary Emailed & Posted To Your Online Account.
Your itinerary will be posted to your online account and emailed for you to review. You are assigned a dedicated travel advisor who will be available to you at any stage of your vacation planning. You may request changes/ modifications to your vacation via your online account, or by emailing or calling your agent.
- Reserve & Pay Online.
Pay for your vacation package securely through your online account. Click on the Orange “Reserve Vacation” button. We require a 20% deposit to secure your vacation with the balance due 2 weeks prior to your arrival date.
- Print Your Vouchers & Go!
Once your balance has been received, you will be able to print your travel vouchers from your online account. You will also receive a complimentary Welcome to Wine Country package containing winery maps, guidebooks & discount winery tastings cards.
Cancellations: Risk-Free Vacations!
Should you you need to cancel your Wine Country vacation, we must receive written notification (by mail, fax or e-mail) to Authentic Wine Country during normal business hours (8:00 am to 4:00 pm PST, Monday thru Friday).
Rescheduling Your Dates:
If you need to cancel the Authentic Wine Country portion of your travels up to 4 weeks before your arrival date for any reason, you may reschedule your vacation within 365 days with no cancellation fees. We want your travels to be stress-free and happy. No worries, no pressure. Just relaxation and wonder… That’s what travel is about.
We also offer the option of transferring your vacation package to family or friends for a small administrative fee of $50.00. This of course makes a great gift for the lucky recipient!
If you do not intend on rescheduling your vacation, please note the cancellation penalties below:
- 20% – More than 4 weeks
- 50% – Within 3 – 4 weeks
- 80% – Less than 2 weeks
- 100% – On the Day of Arrival
Group Bookings (parties of 10 or more), are not eligible to avail of our risk-free cancellation policy.
The following cancellation penalties apply to Group Bookings, depending on the timing of your cancellation:
- More than 12 weeks prior (to your arrival in Wine Country): 20%
- 4 – 12 weeks prior: 50%
- 1 to 4 weeks prior: 75%
- Less than 1 week prior: 100%
Changes made by you
Should you wish to alter your travel arrangements in any way after booking your tour, we will do our best to accommodate changes, provided that we receive written notification from the lead person on the reservation no less than 25 days prior to your departure date. If you need to make changes within 25 days, Authentic Wine Country does not guarantee that we will be able to accommodate your request. All changes will be subject to an amendment fee of $30.00.
Changes Made by Us
We plan your travel arrangements well in advance. Regrettably, amendments may sometimes be necessary for reasons beyond our control. We reserve the right to make such changes at any time prior to your tour commencement. In the unlikely event that changes do need to be made to the original reservation, or in the case of advertized accommodations being unavailable at time of booking, Authentic Wine Country will offer alternate accommodation of the same standard as close as possible to the original location. If the entire tour is cancelled for any reason other than non-payment by you, you will have the choice of purchasing an alternate vacation package (with the price difference payable/refundable as appropriate), or of receiving a full refund of all monies paid to Authentic Wine Country.
Our Responsibility & Liability
We accept responsibility for ensuring that the tour arrangements you book with us are supplied as described in promotional material, and that the services offered reach a reasonable standard. We will always strive to ensure that any special requests you may make - e.g. Non Smoking Room – are fulfilled. Authentic Wine Country does not accept any liability for any loss, claim damages (direct or indirect, incidental, special or consequential, including but not limited to lost profit or lost savings), accident, delay, omission or act, whether negligent or otherwise, on the part of a supplier of facilities for travel or any representative, employee, agent or servant of a supplier of facilities for travel.
